Call every new lead within 5 minutes, no exceptions

(What) The moment someone downloads your lead magnet or books a call, your team should be calling them inside 5 minutes

(Why) A lead is warm for a very short window, and every hour you wait, the odds of a real conversation drop.

(How) Do these things:

  1. Pull your last 20 leads from the past 7 days and log the exact time between form fill and first outbound call.

  2. Set up a Slack or text alert that fires the second a form is submitted.

  3. Assign one specific person, to own the dial within 5 minutes during business hours.

  4. Build a 3 touch cadence, call, text, email, all inside the first 15 minutesx after capture.

The lead magnet trap

Every founder wants more leads. So they build a gated PDF, a free audit, a webinar registration, whatever fits the funnel. The ad spend goes up, the leads start coming in, and everyone celebrates the spike on the dashboard.

Then nothing happens. The leads sit in a spreadsheet or a CRM tab nobody opens until Friday. That gap between capture and contact is where most leads are wasted.

The math nobody runs

Here's an example, using round numbers to make the point. Say you're spending $30,000 a month on ads driving people to a gated lead magnet, at $60 per lead. That's 500 leads a month.

If your average callback time is 24 hours, you'll realistically get maybe 10 of those 50 on the phone. Cut that callback time to under 5 minutes and that number can climb toward 25, because the person is still sitting at their desk thinking about the exact problem your content just solved.

Same ad spend, same lead magnet, more than double the conversations.

What breaks and wh

In the calls we run with prospects, the same pattern shows up constantly. A founder will will have an optin setup for their funnel but no setter dialling them (nevermind within 5 minutes - they literally aren’t dialling at all…)

Most teams under 10 people don't have a dedicated SDR sitting on notifications all day. So the lead magnet turns into a vanity metric instead of a revenue driver.

The fix is boring

In practice, cutting average callback time from 5 hours to under 5 minutes usually just takes assigning ownership and turning on instant alerts, no new software required.

Easy zap into slack works best here.

Combine that with content that pre-qualifies the lead, so the call itself is shorter and more targeted, and you've closed the exact gap that's been draining your ad budget for months.

Thats where we come in.

Content gets attention. Speed converts it. If you're only optimizing one half of that equation, you're leaving the easier half on the table.
